What is an AI associate?

The category language is unhelpful. Here is a practical definition, and the test that separates a colleague from a tool.

Software vendors have started describing almost everything as an agent, an assistant or a copilot. For a practice trying to evaluate options, none of those words say who does the work. So use a simpler test: when the job is done, who did it?

The test

A tool waits to be opened. Someone on your team decides a job needs doing, opens the software, feeds it inputs, reads the output and moves it to the next step. The tool may be excellent. Your team is still operating the process.

An AI associate — a colleague — picks the job up. It knows the reconciliation is due, gathers the statement and the ledger, does the work, and delivers something finished to a review queue. Your team's involvement starts at review rather than at preparation.

What a colleague needs in order to work that way

Access to the systems where the work lives, scoped to the workflow: the ledger, the inbox, the document store. Not a new place to put things.

A definition of your firm's process, not a generic one. Mapping conventions, review points and client quirks are the difference between output you can sign and output you have to redo.

A way to stop. Anything that executes recurring accounting work will meet ambiguity. A colleague that escalates an ambiguous item is useful; one that resolves it confidently and incorrectly is a liability.

A record of what it did. Documents read, rules applied, figures computed, reviewer, changes made, time approved.

What it is not

It is not a replacement for professional judgement, and it does not hold professional responsibility. It does not become the system of record — your ledger remains that. And it is not autonomous in the sense that matters to a regulator: posting, sending and submitting are gated on a named person approving them.
