How the connection works

  1. Connect

    Standard Xero OAuth2. You authorise the tenants you choose, scoped to the data the workflow needs. No shared credentials, no screen-scraping, and you can revoke access from inside Xero at any time.

  2. Learn

    FlowLeap reads the book: chart of accounts, contacts, existing bank rules, and how transactions have been treated historically. It learns your treatment, not a generic one. It follows the hierarchy you already work to — supporting document first, then an existing bank rule with logic, then historic treatment.

  3. Propose

    Work comes back as drafts and a review queue. Every item carries a confidence score and the reasoning behind it.

  4. You approve

    You release. Approved items post to Xero; everything else stays in the queue with the reason it stopped.

What we don't do

  • We don't move your data out of Xero.
  • We don't file anything on your behalf without approval.
  • We don't take an action we can't show you the reasoning for.
  • Write-back is scoped per workflow and agreed before it's switched on.

Supplier bills are drafted straight into Xero today. Everything else is prepared for your release — nothing posts without a human approving it.

Visibility across the book

Most firms don't lose the most time doing the work. They lose it not knowing what hasn't been done yet — which client is behind, whether a deadline was actually met, whether a job was actually finished. That answer usually means opening Xero client by client.

FlowLeap surfaces it in one view: what's outstanding, what's overdue, what's waiting on a client, and what the AI has already cleared. You decide what “done” means for each client; we track against that, not against a status we invented.

Trust and control

Approval-first by design

The agent proposes, you release. Nothing reaches your ledger without a person approving it. That's the containment layer for anything the AI gets wrong, not a setting you can forget to turn on.

The same task, the same way

Defined workflows run on deterministic rules, so they execute identically every time. Judgement is reserved for the items that genuinely need it. Output you have to re-check from scratch isn't a saving.

Your workflows stay yours

Your SOPs, configurations and client-specific builds belong to you, documented and exportable. Each firm is isolated, and we don't train on your processes to serve anyone else.

It learns your corrections

When your accountant corrects an allocation, that correction applies going forward and is applied back across similar historical transactions.

Firms already running on Xero

We work with Xero-only practices, firms running Xero alongside Hubdoc, Draftworx and SimplePay, and firms partway through consolidating onto it. If your stack has a gap we haven't built for yet, that's usually the first thing we scope.
