How the connection works
Connect
Standard Xero OAuth2. You authorise the tenants you choose, scoped to the data the workflow needs. No shared credentials, no screen-scraping, and you can revoke access from inside Xero at any time.
Learn
FlowLeap reads the book: chart of accounts, contacts, existing bank rules, and how transactions have been treated historically. It learns your treatment, not a generic one. It follows the hierarchy you already work to — supporting document first, then an existing bank rule with logic, then historic treatment.
Propose
Work comes back as drafts and a review queue. Every item carries a confidence score and the reasoning behind it.
You approve
You release. Approved items post to Xero; everything else stays in the queue with the reason it stopped.
What we don't do
- We don't move your data out of Xero.
- We don't file anything on your behalf without approval.
- We don't take an action we can't show you the reasoning for.
- Write-back is scoped per workflow and agreed before it's switched on.

Daily supporting-document purge into Xero
DailyWhat it does. Clears the Hubdoc or Dext queue, codes each document and pushes it into Xero ready for reconciliation.
What makes it messy
Nothing downstream is trustworthy until the document set is complete, so this has to run before anything else does.
What comes back. A cleared capture queue, coded documents attached in Xero, and a list of what's still outstanding.
Bank feed reconciliation
DailyWhat it does. Matches feed lines against open invoices, bills and historic treatment, codes the routine items, and queues the rest with a confidence score.
What makes it messy
Amounts that coincide produce a confident wrong match. Duplicate lines appear after a re-authorisation. Feeds gap for a day or two. Customers pay a different amount than invoiced, batch several invoices into one lodgement net of a merchant fee, or leave a reference that's just a person's name.
What comes back. Reconciled lines, newly coded transactions, and a queue of only what needs a human.
Reconciliation unwind sweep
WeeklyWhat it does. Finds transactions that were reconciled directly off the bank statement, checks whether the supporting document has since arrived, and re-points the reconciliation at the invoice.
What makes it messy
The bank line shows up before the client sends the slip, so you reconcile proactively — then the document lands and you're left with duplicate journals and orphaned supporting documents.
What comes back. Corrected reconciliations, documents attached to the right transaction, and a log of every unwind.
Weekend reconciliation run and Monday report
WeeklyWhat it does. Runs the reconciliation pass at close of business Friday across your client book.
What makes it messy
Reconciliation competes with client work all week, so it slips to whoever has an hour spare.
What comes back. A report waiting Monday morning showing what the AI did, what it flagged, and what it wasn't sure about.
Document chasing and completeness
ContinuousWhat it does. Detects what's missing against the ledger, drafts the chase, tracks follow-ups, and matches documents back to transactions as they arrive — over email, WhatsApp and your capture tool.
What makes it messy
Clients send the same invoice twice, or a different one than you asked for, and there's no signal telling you a set is finally complete.
What comes back. Fewer chases sent by hand, duplicates flagged, and a clear view of which client sets are incomplete.
Provisional tax and report packaging
QuarterlyWhat it does. Extracts the data from Xero, formats it into your firm's templates, and presents it for review before it goes to the client.
What makes it messy
Completely standardised and completely manual — the same extract-and-reformat for every client, every cycle.
What comes back. A populated pack in your own template, ready for review.
